GOPA Tech Romania is looking for an Executive Assistant – Administration to support the smooth coordination of administrative, travel, documentation, and office support tasks for the Bucharest office.
The role will support Romanian Project Managers, Project Coordinators, and experts by ensuring efficient document handling, travel arrangements, internal coordination, and general business administration.

What you will do
As Executive Assistant – Administration, you will support a wide range of administrative and coordination tasks, including:
- Coordinate visa applications and medical insurance arrangements for experts’ business trips.
- Manage document translations and administrative correspondence.
- Oversee DHL account operations, including shipment coordination, order placement, and dispatching.
- Prepare and process legal documentation, including powers of attorney and legalization documents.
- Organise hotel bookings, travel itineraries, and reservations for business travel.
- Provide administrative support to Romanian Project Managers and Project Coordinators in ongoing projects.
- Support document formatting, preparation of official letters, collection of signatures, and scanning tasks.
- Update and maintain CVs of Romanian experts.
- Support general business administration activities, including business card management, PowerPoint presentations, and updating internal organisational charts.
- Maintain accurate records of holidays and vacation schedules for Romanian experts.
Your qualifications
The candidate should have:
- Relevant experience in administration, executive assistance, office coordination, or project support.
- Strong organisational and coordination skills.
- Good communication skills and attention to detail.
- Ability to manage travel, documentation, correspondence, and internal administrative processes.
- Advanced Microsoft Office skills, particularly Microsoft Word, PowerPoint, and Excel.
- Ability to work with multiple internal stakeholders and support ongoing project needs efficiently.
